Description

 

This feature is used to manage/view Reservations that have been made by using 3rd Party Reservation software. Currently the following are supported:

Setup

  1. Add ResDiary as a Reservations System to the list of Interfaces at SwiftPOS Touch.
     

Enter the Details provided by ResDiary.

The following details are to be used by all SwiftPOS clients unless ResDiary indicate otherwise.

Enter the settings provided by ResDiary into the appropriate fields. Once entered, select Test to test if the connection to ResDiary is established. If successful, a confirmation message will be displayed. If NOT, the following message will be displayed:
 

 

Confirm the settings entered are correct. If this error still persists, contact ResDiary for further assistance.


Meal Status Links (Call Aways) - Select to open the Meal Status / Print Group Links screen and map Print Groups to ResDiary Meal Statuses (Call Aways).

 


 

 

 

 

 

  1. Ensure the Function 3rd Party Reservations POS Key is added to the appropriate Layout using the Keyboard Designer.

 


Operation

 

  1. In ResDiary Create a Reservation

 

  1. In ResDiary, create a Booking/Reservation:
     

 

  1. In SwiftPOS Retrieve ResDiary Reservations

 

  1. At the SwiftPOS Touch terminal, select the 3rd Party Reservations POS Key to open the Reservations screen:
  2. Select one of the Tables (rows) in the grid and select either:
     
    1. Add Table - To Add/Create a Table in SwiftPOS Touch for the selected Reservation.
    2. Add/Open Table - to Add/Create a Table in SwiftPOS Touch  for the selected Reservation and load it into the sales grid, ready for an order to be taken.
       
  3. Once either one of the above options are selected and the Reservation has been added to SwiftPOS as a Table, then :

 

    1. The same Reservation will not display in the Reservations screen again.
    2. Also, the booking in ResDiary for the same Reservation should now display as Arrived and have it's Arrival Time updated to the approximate time the Table was added into SwiftPOS as per above.

 

 

  1. Use SwiftPOS Touch to proceed with the normal service of the Table.
     
  2. Finalise the Table.

 

  1. Finalising a ResDiary Table

 

  1. In SwiftPOS Touch, the following prompt may be displayed when finalising a table:
     

 

This indicates that the Reservation created in ResDiary, resulted in 2 Tables being joined together to cater for the number of covers (PAX) to be seated. Select YES to ensure the tables remain joined, or NO to ensure the tables are separated once the Table is Finalised.

 

  1. Once finalised, the Table will show as Left/Finished in ResDiary, however the Leave Time will remain the same as when the original Reservation was made. Leave Time in ResDiary is NOT updated from SwiftPOS Touch.
     

 

  1. Transfer a Table

 

    1. In SwiftPOS Touch, use the Transfer Table (#34) POS Key to transfer the table.
    2. Once complete, the Transfer should also be apparent in ResDiary.

 

  1. Call Aways

 

  1. In SwiftPOS Touch, enter the Table # and select the Call Away (#41) POS Key.
  2. Select in the prompt displayed, one of the Call Away options available. For example, Entrees.
  3. Once complete, the ResDiary booking should display the relative Meal Status as mapped to Print Groups (in the Setup above):
     

 


Reservations

 

 

This screen will only display the current Trading Day's Reservations that have been created in ResDiary, and have not yet been added to SwiftPOS:

 

Grid

 

  • Table # - Displays the Table # assigned to the Reservation by ResDiary.
  • Arrival Time - Displays the expected Arrival Time.
  • Booking Name - Displays the name of the person for which the Reservation was made.
  • Covers -  Displays the number of Covers (PAX in ResDiary).
  • Reference - Displays the Booking Reference associated with the Reservation.
  • VIP - Display the text VIP when selected in ResDiary.

 

Footer

 

  • Refresh - Select to refresh the grid.
  • Show All - Select to show all Reservations, including those that have expired.
  • Add Walk In - Select to open the Walk In screen, to create a Walk In and add it to a Table. Note : In contrast a Walk In created in ResDiary will need to be added to a Table using either the Add Table or Add/Open Table buttons.
  • Add Table - Select to create a Table for the selected Reservation.
  • Add/Open Table - Select to create a Table and open it in the sales grid for the selected Reservation.
  • Cancel - Select to exit.

 

Note : Any Reservations made to a Table that has an alpanumeric number (for example, 1a) will not be displayed in this screen.

 


Walk In

 

 

This screen is used to create a Walk In. Once created the Walk In will be visible in ResDiary, as well as via the Table (#30) POS Key.

 

Grid

 

  • 1st row - Select to specify a Table other than one of the ones listed in the grid. Once selected prompts will be displayed to enter the Table # and # of Covers.
  • Table # - Displays the next available Tables.
  • Available Time - Displays the Time the Table is next available.
  • Max Covers - Displays the maximum number of Covers that can be seated at the Table.

 

Footer

 

  • Minutes - Select from the drop down list the duration in minutes the Table will be allocated to the Walk In being created.
     

 

  • Status - Select from the drop down list one of the following:
     

 

  • Add Walk In - Select to create a Table in SwiftPOS Touch for the Walk In.
  • Cancel - Select to exit without creating a Walk In.
