Budget Setup

 

SwiftPOS Back Office > Data Export > Setup Budgets

 

Description

 

This menu item is used to define daily Budgets for each Location. Budgets can be setup for each day during any period for each Location, and can be either manually entered or automatically calculated. A Budget wizard is used when creating a new Budget to make the automatic calculation of a Budget much easier.

 

Note : This feature is currently only used with 3rd party analysis software but will be incorporated into some SwiftPOS reports in the future.

Grid

 

The grid displays the: Location, Trading Date and Budget. Note : To edit an entry in the grid, double click a row. Rows displayed in the grid can be sorted by toggle selecting the column headings.

 

Footer

 

  • New - Select to invoke the Budget wizard and create a new Budget. For more information ...
  • Save - Select to save changes.
  • Undo - Select to undo changes made.
  • Delete - Select to delete the selected row in the grid. Multiple rows can also be selected and deleted.
  • Close - Select to exit.

 

Budget Wizard - Destination

The Budget Wizard caters for the quick creation of Budgets. Budgets are created for each day within the date range specified below.

 

  • Location - Select a open the Search Locations screen to select a Location for which the Budget will be created.
  • Date From/To - Select/Set the date range for which Budgets will be created.

 

Footer

 

  • Prev - Select to return to the previous step.
  • Next - Select to proceed to the next step.
  • Finish - Select to run the wizard.
  • Cancel - Select to exit the wizard without running it.

Select one of the following options:

 

  • Manual Budget Entry - Select to manually enter a Budget amount without any need for calculating it based on previous sales.
  • Average Sales - Select to calculate the Budget amount based on the average sales per day over the date range (selected in the next tab of the wizard). The calculated Budget will be set for each day within the Budget date range (selected in the previous tab of the wizard).
  • Day by Day Sales - Select to set the Budget amount for each day within the Budget date range (selected in the previous tab of the wizard), to the sales on the same date in a previous year. The year used is determined by setting a date range in the next tab of the wizard.

  • Date Range - Select/Set the date range for which sales will be used in the calculation of the Budget amount.

  • Expression - Select from the drop down list one of the following mathematical expressions required to calculate the new budget amounts:


  • Formula Value - Enter the value to be used in conjunction with the expression selected above. For example: a value of 1.1 used with the 'Multiply by Value' expression will result in a 10% increase in the calculated budget amounts.
