Cash Declaration Operation

 

Touch > Recall Declaration (#17) POS Key

 

Description

 

Used to perform Cash Offs (Cash Declarations) at the SwiftPOS Touch terminal.

 

Allow users to declare the value of the cash drawer by denomination, after a report reset. Will also commit the counted (declared) value to the SwiftPOS Back Office. When used, all other media types will be declared with their expected values and committed to the SwiftPOS Back Office. Note, reports reset for a single cash drawer will not have a declaration created. If the declaration feature needs to be used then reset reports should not be run for a single cash drawer.

  1. If required, restricting access to this POS Key can be managed by Clerk Security.

Pre-Requisites

 

  1. Assign PLU numbers to all Media Types used at the SwiftPOS Touch terminal.
  2. Ensure the Function Print Report and Recall Declaration POS Keys are added to the appropriate Layout using the Keyboard Designer.
  3. Select the Allow Media Declaration when resetting reports setting in the Reports Setting screen at the SwiftPOS Touch terminal.
  4. Ensure that at least one Report is configured with the Reset sales after print setting selected in the Reports Settings screen at the SwiftPOS Touch terminal.

 


Operation

 

  1. Select the Print Report POS Key and reset the appropriate report.
  2. Select the Recall Declaration POS Key. The Search Declarations screen is displayed as per below:
     

 

  1. Select the from the Declarations listed the one for which the reset was just performed. The Cash Declaration screen is displayed as per below:

 

The Cash Declaration screen is used to enter the cash in drawer by Denomination.


Note : The report can be configured as a Blind report, to ensure the expected Cash drawer value remains hidden from the Clerk/Staff Member.


Grid


  • Denomination - Displays the denominations that potentially need to be counted.
  • Qty - Displays/Select to enter the quantity for each denomination counted. Select to display a numeric keypad to enter the quantity.
  • Value - Displays/Select to enter the value of each denomination. Select to display a numeric keypad to enter the value.  Not visible when Blind reporting is selected.


Grid Footer


  • Up/Down Arrows - Select to move the highlighted denomination up/down in the grid.
  • -/+ - Select to decrease/increase the Qty of the highlighted denomination.


Footer


  • Actual Value - Displays the total of the Value column in the grid. Not visible when Blind reporting is selected.
  • Expected Value - Displays the total value expected to be counted. Not visible when Blind reporting is selected or if the Hide Expected Value option is selected.
  • Print Declaration - Select to print a hardcopy of the Cash Declaration. It will be printed as the Receipt printer. The printed declaration includes the date/time which the declaration was printed and the Clerk/Staff Member which performed the declaration in addition to 2 signature lines for the cashier and shift supervisor.
  • Hold - Select to save changes and hold for committing at a later. Not visible when Pre Z setting selected.
  • Commit - Select to commit the declaration and send to the SwiftPOS Back Office for processing.
  • Cancel - Select to exit without saving changes. Not visible when Pre Z setting selected.


  1. Enter the quantity for each denomination counted.
  2. Select the Commit button to send the declaration to the SwiftPOS Back Office
  3. Once SwiftPOS Touch sends the declaration back to SwiftPOS Connect it will be processed into SwiftPOS Back Office where the cash off record will be committed with the declared cash value. All other media types will be committed with the expected values.

 


Pre Z Cash Declaration

 

Used to trigger a Cash Declaration prior to a Z report. This can be enabled here.

 

  1. When selected a Cash Declaration cannot be held or cancelled.
  2. A prompt for the entry of a reason will be displayed when there is a variance between the counted value and the expected value. This is then added to the Z Report and the Cash Declaration.
  3. Declaration Summary added to the bottom of the Z Read for future reference.
  4. If Consolidated X and Z reporting is enabled, all Cash Declarations will be summed into one.
