Clerk/Staff Message Operation

 

Touch > Open Messages (#150) POS Key

 

Description

 

This feature is used to access the SwiftPOS Messaging system at the SwiftPOS Touch terminal, and is used for messaging Clerks/Staff. The Messages Indicator will flash as highlighted when there are Messages in the inbox of the Clerk/Staff Member that is currently logged in.

 

To Be Considered

 

  1. If required, restricting access to this POS Key can be managed by Clerk Security.
  2. Messages can be deleted in the SwiftPOS Back Office here.

 


Pre-Requisites

 

  1. Ensure the Function Open Messages POS Key is added to the appropriate Layout using the Keyboard Designer.
  2. The Message Service will need to be running for the Messages feature to function.
  3. Messaging can be configured here.

 


Operation

 

  1. To Create a New Message

    1. At the SwiftPOS Touch terminal, select the Open Messages POS Key to open the Messages screen.
    2. Select New Message at the bottom of the screen. The New Message screen screen will be displayed.
    3. Select To, and select from the drop down list one of the following:

  • Clerk - Select to open the Clerks screen and select select a Clerk.
  • Clerk Group - Select to open the Clerk Groups screen and select select a Clerk Group.
  • Terminal - Select to open the Terminals screen and select select a Terminal.
  • Location - Select to open the Locations screen and select select a Location.

Note : To select more than one of the above or a combination of the above, select the To button again.

 

    1. Fill and complete the remaining fields on the screen as required.
    2. Select Done to save and exit.

  1. To Open an existing Message

    1. At the SwiftPOS Touch terminal, select the Open Messages POS Key to open the Messages screen.
    2. Select from the drop down list to the right of the Inbox, the type of Messages to be opened. Once selected any existing messages will appear in the grid.
    3. Select a Message in the grid and select Open. The selected message will appear in a popup screen.

  2. To Delete/Hide a Message

 

    1. Messages can only be deleted in the SwiftPOS Back Office and only by the Clerk/Staff Member that sent them. For more information ...
    2. Messages received cannot be deleted by the Recipient. To remove messages from appearing in the grid of the Messages screen, select the message and select Hide at the bottom of the screen.

  1. Other Operations

 

    1. The following operations can also be done using the Open Messages POS Key:

 

      1. Mark as Read/Unread
      2. Hide/Unhide
      3. Reply
      4. Forward

Header

 

Select from the drop down list one of the following email folders:

  • Inbox
  • Sent Items
  • Hidden Items

 

  • Up/Down Arrows - Select to scroll up/down through the above email folders.

 

Grid

 

  • The columns displayed will vary depending on the email folder currently selected.
  • Up/Down Arrows - Select to scroll up/down through the messages displayed in the grid.
  • Up/Down Page Arrows - Select to scroll up/down one page of messages at a time. Note : Unread Messages are displayed in bold.

 

Footer

 

  • Open - Select to open the selected Message in the New Message screen. Once opened the Message will be marked as read.
  • New Message - Select to open the New Message screen and compose a new Message.
  • Mark as Read/Unread - Select to mark the selected Message as read/unread.
  • Hide/Unhide - Select to move the selected Message into/out of the Hidden Items folder.
  • Reply - Select to open the New Message screen and compose a reply Message.
  • Forward - Select to open the New Message screen and forward the Message.
  • Close - Select to exit.
