Description

 

This menu item is used to import Supplier Price Book (Host File) data. Note : Where possible, It is recommended to use Supplier eTrade v2. 

 

A Price Book (Host File) is essentially a list of Manufacturers, Master Groups, Product Groups, Categories and Products that represent the Products available from a specific Supplier. Instead of creating Product records every an item is ordered from a Supplier, this option enables the importing of Product related information from Suppliers provided in the form of Price Books (Host Files).

 

To Be Considered

 

  1. Price Books can also be created manually (refer to the file structures outlined here) or they can be generated. For more information ... Once created or generated they can be imported using the Generic Import feature below.
  2. When starting with a blank database and to improve performance, Reindex the database before importing Price Books.
  3. Run a General Check and Check Defaults on completion of the import of a Price Book.
  4. Import from left to right. That is, select the tabs Suppliers / Manufacturers / Product Groups / Categories / Products consecutively from left to right and import in that order.

Header

 

  • Price Book Folder - Select to open the Browse For Folder screen to select the folder that contains valid Price Book data.
  • Price Book Type - Select from the drop down list one of the following supported file formats:

 

  • Generic (TXT) - Select to import a Price Book in the format outlined here ...
  • Generic (XLS) - Select to import a custom Excel file. The format of which can be found in the Reseller Help and includes multiple Excel Sheets for the different data tables. Note : An export from SwiftPOS in this format is NOT available.
  • Liquor File - Select to import a Liquor File, now known as Ontap Data.

 

Tabs

 

  • Suppliers - Select here to view further information.
  • Manufacturers - Select here to view further information.
  • Product Groups - Select here to view further information.
  • Categories - Select here to view further information.
  • Products - Select here to view further information.

 

Grid

 

  • Import - Select to flag the item to be imported.

 

Grid Footer

 

  • Mark ALL for Import - Select to mark all items in the grid for importing.
  • Clear ALL Import Flags - Select to unmark  all items in the grid.
  • Import Flag Items - Select to import (into SwiftPOS Back Office) all items in the grid that have been selected for importing.
  • Save Price Book Data - Select to save the Price Book and any changes to SwiftPOS database.
  • Auto Assign Category - Select to Auto Assign ALL Products in the Price Book to the first Category in the Database. By default this would be Inc GST.

 

Footer

 

  • Import Price Book - Select to import a Price Book according to the Price Book Folder and Type at the top of the screen.
  • Close - Select to exit.

 


Suppliers

 

 

  • ID - Displays the Supplier's Code.
  • Name - Displays the Supplier's Name.
  • State - Display's the State the Supplier's is located in.
  • Postcode - Display's the Postcode of the Supplier's address.
  • Contact - Displays the name of the Supplier's contact.
  • Phone - Displays the contact number of the Supplier's contact.
  • SendPO Method - Displays the default Preferred Purchase Order Mailing Method. Default is Post (Print).

 


Manufacturers

 

 

  • ID - Displays the Manufacturer's Code.
  • Name - Displays the Manufacturer's Name.
  • Rebate - Displays the Manufacturer's rebate.

 


Product Groups

 

Make sure you import Groups before you try and import Products.

 

 

  • ID - Displays the Product Group's Code.
  • Name - Displays the Product Group's Name.

 


Categories

 

Make sure you import Categories before you try and import Products.

 

 

  • ID - Displays the Category's Code.
  • Category Name - Displays the Category's Name.
  • Fraction / Auto Add / Instruction / Non Sale - Displays a tick where appropriate.
  • PurchaseTaxCode - Buy default ALL Categories are assigned to the first Tax ID in the Database.

 


Products

 

Before you can import Products, the Groups and Categories need to be imported first above. If you have not imported the Suppliers, then it will not import the Supplier Codes either.

 

 

Search Filters

 

  • The filters at the top of the screen can be used to limit the number of rows displayed in the grid. The filters include the following types:
     
    • Full/Partial Texts - The filter fields of this type are: PLU, Product Code, Description and Barcode.
    • Drop Down Lists - The filter fields of this type are: Group and Category.
       
  • Apply
  • Reset

 

Grid

 

  • All columns (except Import) - Displays the information associated with all the Products imported from the Price Book. The values in some of the columns can be manually changed prior to importing into SwiftPOS.

 


Operation

 

To import Price Book data into SwiftPOS, follow these simple instructions:

 

  1. Reseller Help - For a sample Price Book that can be downloaded.
  2. Specify a Price Book Folder which contains valid Price Book data.
  3. Specify a Price Book Type.
  4. Click the Import Price Book button to import all of the relevant Price Book data from the specified folder.
  5. Make any necessary modifications to the Price Book data clicking the relevant fields and entering new data.
  6. Either click the Import checkbox next to each item you would like to import or click Mark ALL for Import to import all items.
  7. Click the Import Flag Items button to begin the import process, then move to the next tab, from left to right. Note : It is recommended that the tabs (Suppliers, Manufacturers, Product Groups, Categories, Products) are imported from left to right.
  8. Check your Manufacturer, Master Group, Product Group, Category and Product records to confirm that all of the flagged data was imported successfully.
