Description

 

This feature is used to configure Accounts Flow Download settings to support the Importing of Accounts Flow Supplier Invoices.

 

To Be Considered

 

  1. This feature is available to sites with a Rego > Software Enhancement date of 20 Sep 2018 or more recent.
  2. The Accounts Flow Import is only available to those sites whose Software Enhancement licence is after 20/09/2018.
  3. Invoices that match to a Purchase Order, will be downloaded using the Location of the Purchase Order.

 


Settings

 

 

Invoice Download Settings

 

  • Location Group - Select from the drop down list the Location Group for which Invoices are to be downloaded.
  • Folder - Displays/Select the folder in which Invoices will be downloaded to.
  • URL - Displays/Enter the URL from which data will be downloaded.
  • Authentication - Select from the drop down list one of the following methods of authentication to enable access to the Accounts Flow portal:
     
    • Key - Displays/Enter the Key provided by Accounts Flow.
    • User Name / Password - Displays/Enter the User Name and Password.

 

  • Timeout - Displays/Enter the maximum time allowed in order to establish a connection.
  • Match on ABN First - Select to ensure that when importing an AccountsFlow invoice, matching is first done on ABN then by Account ID.
  • Test - Select to test the settings.

 


Download Accounts Flow Invoices

 

 

Search Filters

 

  • The filters at the top of the screen can be used to limit the number of rows displayed in the grid. The filters include the following types:
     
    • Drop Down Lists - The filter fields of this type are: Location Group, Location and Supplier.

 

Grid

 

The grid displays the Accounts Flow Invoices (subject to the search filters above) available for downloading.

 

Note : Invoices that match to a Purchase Order, will be downloaded using the Location of the Purchase Order.

 


Operation

 

Processing Accounts Flow Invoices is as follows:

 

Downloading Accounts Flow Invoices

 

  1. In SwiftPOS Back Office > Suppliers > Invoice Import - Select the Download button and then select Accounts Flow option.
  2. The Download Accounts Flow Invoices screen will be displayed, and will be populated with those Invoice available for download for the first Location Group listed in the drop down list. If no Invoices are available, select another Location Group.
  3. Invoices that cannot be matched to a Supplier using the Supplier ID, Account ID and/or the Company No (ABN), will have blanks displayed in the Supplier column. Select the blank Supplier to open the Search Suppliers screen and select a Supplier. Note : Invoices displaying a blank Supplier, will NOT be able to be downloaded.
  4. Using either the All or Select checkboxes, select the Invoices to be downloaded.
  5. Select the Download button to commence downloading and populate the Import Invoices screen with the downloaded Invoices.
  6. If an Invoice has previously been downloaded and is still listed in the Import Invoices screen, it won't be downloaded again.

 

Matching Accounts Flow Invoices

 

  • The downloaded Invoices will be displayed in the Import Invoices screen. Those that have the Select checkbox selected have been successfully matched by the download process.
  • Individually select and match (by selecting the Match button) each unmatched Invoice. This is done via the Match Invoice screen.
  • Once the Invoice has been loaded into the Invoice Match screen, select each of the unmatched Products (identified by blank values displayed in the Product Code column), to open the Match Product screen and select a matching SwiftPOS Product.
  • Save and Close the Match Invoice screen.
  • The Invoice should now appear in the Import Invoices grid with the Matched checkbox selected.

 

Import Accounts Flow Invoices

 

  • Once Invoice have been downloaded and matched, they will be displayed in the Import Invoices screen with the Matched checkbox selected.
  • Select the Open button to open the selected Invoice (current row selected) in the Invoice/Receipt Goods screen. Note : The Open button will only be enabled if the selected Invoice is matched.
  • Select the Save as Pending button to save all selected (that is, all rows with the Select and Matched checkboxes selected) Invoices as Pending. Once saved, they will be able to be retrieved via the Invoice/Receipt Goods screen.
