Shop the Shop Feature

Description

This feature is designed for new sites only and facilitates the quick set up of Products in the SwiftPOS Back Office with only those Products/Pricing currently used in the store.

The idea is to use a PDE to scan every Product that is currently in the store and to enter the price of that Product into the PDE. The Barcodes and Descriptions will be sourced from the Price Book and not from the existing Product file. For every Barcode that is scanned it will activate that Product in the Price Book and the price that was entered into the PDE will be automatically added to the selling prices for each Product. For example, a site may have 20,000 Products in their Price Book but the store only carries 2,000 of those Products. Only the 2,000 Products will be activated so that PLUs can be assigned to them and the Products imported directly.

What this means is that provided your entry of pricing was correct you would immediately be able to start trading knowing that all the Barcodes are correct and all the sell prices match what is currently on the shelves.

To Be Considered

  1. This feature is designed for installing new sites. It is not designed for existing sites.

Operation

  1. You bring in the Host file into the Price Book.
  2. Choose what Suppliers and Groups you want in your Business/Venue.
  3. The Price Book application would then list those Products on the screen.
  4. Only those Products with Barcodes would go to the PDE. If you had to restrict the file size to the available memory in the PDE then you would have to do Spirits as a different batch to Wines for example.
  5. Using the PDE upload feature in the Price Book Menu to send the Barcodes to the PDE.
  6. Scan all the Products in the "Shop the Shop" using the stocktake option in the PDE.
  7. Enter the selling prices with the decimal place where you would normally enter the Quantity. If you scan a Product and leave the selling price as 1 then these will be removed prior to importing the shop. This is because the PDE defaults to 1 and you must enter a valid price if you want to import the Product into your Product file.
  8. Run the Download Shop The Shop scan option to download the price changes.
  9. Run the import Shop The Shop scan option and select the scan file. This will most likely be in a PDE Shop Scan sub directory of TaskPOS and the file will be a time stamped .DAT file.
  10. From the Price Book Products Menu you would allocate the "Next available PLU" and add all those Products into the data file.
  11. From here you could start a new Price Book to do the Wines etc or move onto normal Product Maintenance.
  12. Normal PDE stocktake process would then be available for regular stocktakes. (It would not be available while you are doing the "Shop the Shop".

Upload Barcodes

This will transfer the Barcodes and descriptions that are currently displayed on the screen to the PDE. For more information on using the PDE refer to the PDE's Menu. The option on the PDE that you use is the Stocktake option but instead of entering a quantity you enter a price.

Download "Shop the Shop" Scan

Once you have completed your scanning of all the Products in the store then use this option to download the information from the PDE to the Price Book application. The file that you need to download would be the Stocktake option in the PDE Menu.

Import "Shop the Shop" Scan

After the file is successfully downloaded you can import the file and it will activate only those Products that have been scanned and add the selling prices in the Price Book application. The data file from the PDE is saved to the computer into the "PDE Shop Scans" folder as "date/time-ShopScans.DAT" format. Add the PLU numbers to the Products on the screen and then import them into your software to complete the process.
