Description

 

This tab is used to determine how Products are organised and displayed at the SwiftPOS Touch terminal. They are used primarily for assigning Categories to SwiftPOS Touch terminal POS Keys and for printing to Bar/Barista/Kitchen/Order printers.

 

  • The SwiftPOS Touch terminal Category Prompt POS Key is used to ensure that when this button is selected at the SwiftPOS Touch terminal the Products assigned to the Category associated with the Category Prompt POS Key will be displayed.
  • By assigning a Print Group to each Category this enables the ability to determine what gets sent to the Kitchen/Order printers and what orders get printed.

 

To Be Considered

 

  1. See below for examples of the Categories that may be required.
  2. Note :
    1. We recommend to keep the number of Categories to a minimum for ease of management. Remember that any new Categories created may need to be assigned to Kitchen Printers if required
    2. Instructions (with the 'I' column checked) will always print after the parent Product.

 


Category Printing

Grid

 

  • # - Displays the Category Number. This number is automatically generated at the time of creation. Changing this number may have implications. See below for further information.
  • Description - Displays/Enter the name for the Category that describes the type of Products that will be assigned to the Category. For example : Mains, Hot Beverage, Beer, Wine, etc.
  • Pts/$ - Points per dollar - Enter the number of Loyalty Points to be awarded to members for every dollar spent. See also Member Classification, Location and Bonus Points for further information relating to Loyalty Points.
  • F - Fractional - Select to ensure a prompt is displayed (at the SwiftPOS Touch terminal) to allow the entry of the quantity sold when a Qty based PLU Product (assigned to the Category with this setting) is sold. Used to sell Products that can be sold in fractions. For example, Products sold by the litre (Wet Stock (Fuel)) or weight. This setting can however be overridden by selecting the Calculate Qty from Dollar Value setting at the SwiftPOS Touch terminal. Note : Member Campaigns, Mix n Match and Vouchers cannot be set against items that are in a Category flagged as fractional.
  • AA - Auto Add - Select to ensure that when multiple items of the same Product (assigned to the selected Category) are charged to a Table/TAB, then at the SwiftPOS Touch terminal, this feature will ensure that when the Table/TAB are reopened, the same Products will appear in the sales grid as consolidated. That is, the quantity is summed and the multiple items are displayed as one entry in the Sales grid with a summed quantity rather than multiple entries with a quantity of 1 each.

 

 

Note : This feature is only available in conjunction with sales charged to a Table/TAB.

 

  • I - Instruction - Select to flag the selected Category as an Instructional Category. Generally this is used for Categories that have Products of an instructional type assigned to them. These provide additional cooking/preparation instructions when placing an order for another Product. For example when ordering the Product 'Steak'. The 'Steak' Product would be assigned to the Category 'Mains' where as the instructional PLUs/Products created to prompt for cooking instructions would be assigned to the 'Cooking Instructions' Category. Examples of the instructional PLUs assigned to it may be as follows :

Numbering the instructional PLUs/Products in an appropriate sequence will result in them printing in the correct order on the Kitchen Dockets.

 

To then ensure that the Clerk/Staff Member is prompted to select the cooking instruction when a 'Steak' is ordered, use will need to be made of the Web Link Category option. If a price is required to be entered by the Clerk/Staff Member at the time of sale for the instructional PLUs/Products or the Product 'Steak' itself then make use of the Open Price Product feature. Another alternative is to create custom (free text) instructions using the String PLU feature. Note : Instructional PLUs/Products do not have to be assigned to SwiftPOS Kitchen Printers because they will always be printed along with the Product that was sold.


  • R - Restricted Purchase Category - Select to ensure a Restricted Purchase message is displayed whenever a Product in this Category is sold.
  • NS - Non Sale - When Products are sold that do not have any stock decrementing, but are required to be entered through the SwiftPOS Touch terminal for the purpose of a sale or other entry. Sales sold in SwiftPOS Touch that are marked as non-sale items will not record as sales in the SwiftPOS Back Office. You can also use Account Resets if you want to clear totals.  For more information ... Note : Selling from a Non Sale Category WILL affect the SwiftPOS Back Office Reporting.
  • Print Group - Select to determine the order in which information is printed on kitchen printers. For example : Entree's, Mains, Desserts. Note : Categories do not have to be assigned to a Print Group if there is no requirement for order printing at the SwiftPOS Touch terminal. SwiftPOS Connect only supports the first 15 Print Groups
  • T1 - Select to apply the Tax set here when the Products in the Category are sold.
  • Web Link Category - Used to prompt the Clerk/Staff Member to make further selections at the SwiftPOS Touch terminals, or in the Web Store/API, whenever a Product in the selected Category is sold. Using this feature allows the linking to Categories like cooking instructions, sauces, side dishes, etc. without having to set linking for individual Products at keyboard level. For example, when selling a steak (from the Mains Category) the Clerk/Staff Member needs to be prompted to select either Rare, Medium Rare, Medium or Well Done. Also, further prompting maybe required for the selection of Sauces and Side Dishes that is to accompany the order.

Make sure you disable Category Web Links at POS in the Admin >> Global Preferences Menu - Select to disable Category Linking at SwiftPOS Touch terminals (POS) and thus is ONLY enabled for Web Links. Default is OFF.

 

This is an example of the setup required in the Category screen to ensure the example outlined above is implemented. The Min/Max value of 1/99 for the Side Dishes Web Link Category, implies that at lease one and more than one side dish can be ordered to accompany the Mains order. Note : Any settings set here are overwritten by the linking done on the Keyboard. Also, for example, if a Min and Max value of zero is entered against the Web Link Category Side Dishes, then no Side Dishes will be displayed at the SwiftPOS Touch Terminals.

 

Another scenario : When selling refrigerated drinks in a Bottle Shop for example, it may be the requirement to charge a chilling surcharge. This can also be achieved using Web Link Categories as well.

 

 

In this example whenever a Alcoholic Beverage or Cold Beverage is sold the Clerk/Staff Member will be prompted with the following choice at the SwiftPOS Touch terminal:

 

 The above two options will need to be created as a Non-Inventoried Products in the SwiftPOS Back Office and assigned to the Chilling Surcharge Category. The first will have a price of $0.80 whereas the other will have a price of $0.00.

 

Note : Linking must NOT be set to the same Category. That is, Entrees should not be linked to Entrees.


  • Min - Set the minimum quantity that can be ordered when linking to Categories. This value applies to the Web Link Category and not the selected Category.
  • Max - Set the maximum quantity that can be ordered when linking to Categories. This value applies to the Web Link Category and not the selected Category. The maximum quantity for the Web Link Category Cooking Instructions (rare, medium rare, medium and well done) would be set to 1 where as for Side Dishes it would be set to 99 ensuring customers can order multiple side dishes.
  • Back/Font Colour - Select to display a colour picker popup to select the colour that will be used as the default Background/Font colour for POS Keys when using the Category Method in Post Event Linking.
  • Purchase Tax Code - To be continued ...
  • Commission - Displays/Enter the Commission percentage/CPL (cents per litre) that will be used to calculate the commission to be collected by Commission Agents (card providers). This feature was originally added for Liberty and Shell cards. A percentage is entered for non Wet Stock Products and the CPL for Wet Stock Products (eg. Fuel).
  • Royalty - Select to open the Category Royalty screen to configure Royalty rates specific to Locations for a selected date range.
  • ERP Code - Displays/Enter to select the Viva ERP Code applicable.

  • New - Select to add a new Category
  • Full Edit - Select to open the Product Category Edit screen.
  • Save - Select to save changes.
  • Undo - Select to undo changes made.
  • Delete - Select to delete the selected Category.
  • Multi Language - Select to set alternate language descriptions for the selected Category.
  • Tax Setup - Select to open the Tax Setup screen.
  • Close - Select to exit.

 


Product Category Edit

 

This menu gives the same information as above with some additional less used options.

Grid

 

  • Restricted Message - Enter the message here that will be displayed at the SwiftPOS Touch terminal when the first item from this Category is sold. For example relevant to the sale of cigarettes.
  • EFT Code - Select to open the Product EFT Codes screen to specify EFT Codes.

 

  • Royalty - Select to open the Category Royalty screen below to specify Royalty rates against the selected Category per Location for a given Period.  Note : Designed to support integration to the Viva ERP System.
  • ERP Product Code - Displays/Enter the ERP Product Code for the Category. Used for integration to the Viva ERP System. Note : This Product Code is referenced when assigning Commissions against a Product here.

 

Tabs

 

  • Tax Setup - Select the Tax to be applied to the sale of Products assigned to the selected Category.
  • Product Types - Display/Enter the Product Types to cater for the Price Level Offset of selling either, for example, a Normal/Cold (chilled) version of the same Product. The Cold (chilled) Product Type would then point to the Price level offset sell price which would include a surcharge for chilling. Then when a Product in the selected Category is sold at the SwiftPOS Touch terminal, a prompt will be displayed prompting the selection of the Product Type, that is, either a Normal or Cold.

  • Save - Select to save changes.
  • Undo - Select to undo changes made.

Category Royalty

 

 

This screen is accessed from here. This screen is used to configure Royalty rates for the selected Category. Royalty rates are entered per Location for a selected period and are entered as a percentage (%).  Note : Designed to support the export of sales data to the Viva ERP System.

 

Header

 

  • Category - Displays the Category Description.

 

Grid

 

  • Location - Select from the drop down list of Locations a Location.
  • From/To - Displays/Set the Start/End Date for the period in which the Royalty will be applied, when a Product in the selected Category is sold.
  • Royalty % - Displays/Enter the % rate to be applied as a Royalty when a Product in the selected Category is sold.


Grid Footer

  • Add - Select to add a row.
  • Delete - Select to delete the selected row.

 

Footer

 

  • Save - Select to save changes.
  • Undo - Select to undo changes made.
  • Copy From Other Category - Select to open the Select a Category screen and select an existing Category to copy it's Royalty configuration.
  • Close - Select to exit.

Changing Category Numbers

 

Question: If we were to change the Category number of an instruction Category in the system to a higher number so it is excluded from Reports, what sort of impact would this have on the system and what changes would need to be made?

 

  1. You can change the Category Number, but there are a few things to be careful of.
  2. Needs to be performed and completed outside of Trade Hours.
  3. Ensure all Sales are Processed and ensure there are no Held/Table/Tab Sales open on any of the SwiftPOS Touch terminals.
  4. Ensure any Category Method Post Links on Keyboards, using the Category/Categories you are renumbering are removed.
  5. Ensure there are No Happy Hours or Promotions using the Category.
  6. Ensure you have a current Backup.
  7. Stop the Services.
  8. Change the number.
  9. Reset Keyboard Post Links.
  10. Restart the Services.
  11. Send a Full Update to all Terminal before Start of Trade.

 

Note : Ideally, this should be done in the planning stages prior to an install of SwiftPOS software, so as to avoid the impact it may have on a live site.
