Reason Codes POS Key Settings

 

Description

 

Used to enforce the selection of a Reason as to why a specific action is being taken. For example, when cancelling a sale it may be the requirement to enforce Clerks/Staff at the SwiftPOS Touch terminals to select a Reason as to why they are cancelling a sale.

 

Pre-Requisites

 

  1. Available Reasons and their codes are configured in the SwiftPOS Back Office here.
  2. When designing the Keyboard, select one of the POS Keys that have the Enforce Reason Code setting available. This setting is accessed from here.

 

Settings

 

 

This screen is accessed from here for those POS Keys that have the Enforce Reason Code setting available. For information on how to access the POS Key's settings screen, click here.

 

This is an example of the setting screen for the Cancel Sale POS Key.

 

  • Enforce Reason Code - Select to enforce the selection of a Reason.
     
  • Reason Code Groups - Select from the drop down list of Reason Code Groups available. These are configured here.
     
  • OK - Select to save settings and exit. A full update will need to be sent to the SwiftPOS Touch terminals.
  • Cancel - Select to exit without saving.

 

Operation

 

This is an example of the Reason Codes used in association with the Cancel Sale POS Key.

 

  1. At the SwiftPOS Touch terminal make a sale.
  2. Select the Cancel Sale POS Key.
  3. The Enforced Reasons screen will be displayed. This screen allows the Clerk/Staff Member to select one of the preconfigured Reasons, or the enter their own Reason. Note : To ensure the Touch Keyboard is always displayed when entering this screen, ensure the Always Show Keyboard when providing Reasons option is selected. By default, the Touch Keyboard is not displayed.
     

 

  1. Once the Clerk/Staff Member selects a Reason or types their own, they allowed to continue with the cancelling of the sale.
  2. The Reason is then recorded in the sale and can be reported on via the available Audit Reports.
