Description

 

This menu item is used for transferring Inventory/Stock between Locations. Transfers can be achieved by adding Products in either of the following ways:

 

  1. Manually by using the Add Row button and adding individual Products one at a time. This method is normally used for Transferring a small number of Products.
  2. By using the Bulk Stock Wizard to Transfer a large number of Products.

 

To Be Considered

 

  1. Note : Transferring a Product to a Location, that draws from the same Location as the Location it is being transferred from, is now prohibited. Such Products will not appear in the Search Products screen when doing Back Office Transfers. This does not apply to Stock Transfers In (#527) / Out (#526) done at the SwiftPOS Touch terminal.
  2. Inventory Transfers can be entered using a PDE.
  3. Inventory Transfers can also be performed at a SwiftPOS Touch terminal using either the Transfer In (#527) or Transfer Out (#526) POS Keys.

Header

 

  • Trading Date - Select the calendar icon to set the Trading Date required for the Transfer.
  • Reference - Enter a reference if required. Note : In V10 - Select the search button to select from the list of predefined References.
  • Transfer Costs - Select to ensure the Product's cost is transferred along with the Products. Selecting or unselecting this option will also ensure the same is applied to Batch TransfersRequisitions and Shopping Lists in Warehouse Requisitioning. When selected, this option will ensure that the cost of stock in the receiving Location will be determined depending on that Location's Transfer In Cost method setting. Examples of how this is determined and the formula used to calculate the Average Cost, can be found here.

 

Grid

 

  • From/To Location - Select/Enter to open the Search Locations screen and select the Locations From which and To which the Stock Transfer is required. Note : Some Locations may not be listed in the Search Locations screen. The reason for this would be because some Locations are Drawing Stock from another Location. To prevent any confusion or incorrect Transfers from occurring, any Location that does not Draw Stock from itself is NOT listed in the drop down list. This ensures stock cannot be adjusted at Locations that should not be holding any stock.
  • Barcode/PLU - Displays the Barcode/PLU of the Product.
  • Qty - Enter the quantity of the Product that is required to be transferred.
  • Product Code - Displays the Product Code of the Product. When using the Add Row button place the cursor in this field and hit the Enter key to open the Search Products screen to select a Product.
  • Description - Displays the Product Description of the Product.

When using the Add Row button place the cursor in this field and hit the Enter key to open the Search Products screen to select a Product.

  • Cost - Displays the current Cost of the Product.
  • From SOH - Displays the current Stock on Hand quantity of the Product in the From Location.
  • To SOH - Displays the current Stock on Hand quantity of the Product in the To Location.

 

Grid Footer

 

  • Add Row - Select to add a new entry into the grid.
  • Delete Row - Select to delete the selected entry from the grid.
  • Transfer As - Select to transfer stock from one Product to another. For further information click here.

 

Footer

 

  • Commit - Select from the drop down list either one of the following:
  • Commit - Select to post the Inventory Transfers.
  • Commit and Print - Select to post the Inventory Transfers and print the Inventory Transfer report.

 

Note : Committing a Transfer with a Trading Date that is in a Closed Period is NOT allowed. A warning message will be displayed if this is attempted.


  • Reset - Select to clear the grid.
  • PDE - Select from the drop down list either one of the following:

    • Export Data to PDE - Select to export Barcode and Location data to a connected PDE. Ensure to configure the correct PDE related settings here. The files exported to the PDE are called STOCKTAKE.DAT and LOCATION.DAT.
    • Import Data from PDE - Select to import a transfer list from a PDE into SwiftPOS Back Office. Ensure to configure the correct PDE related settings here. The file imported is called STKTRAN.DAT.
    • Upload Software to PDE - Select to upload PDE software (required to perform the functions listed above) to a connected PDE. Ensure to configure the correct PDE related settings here.


  • Tools - Select from the drop down list either one of the following:

    • Match Bar Codes to Products - Select to match any Barcodes entered in the grid with Barcodes of existing Products. Note : In addition to matching Products that have been assigned Barcode numbers, it will also match PLU based Barcodes with their relative Product.
    • Consolidate Same Product Codes - If there are multiple entries for the same Products, in particular Reciped Items, this function will consolidate the items into a single entry. E.g.: 2x Stubbies are posted as well as 2x Six Packs of beer. Assuming that the stubby is the parent item and the six pack is reciped from it, then the consolidation would combine the two items and display a single entry as 14x Stubbies.
    • Import from XML Transfer file - Select to import a Transfer list from an XML file into SwiftPOS. This function is useful for importing from 3rd party applications.
    • Export Transfer list to XML file - Select to export the Transfer list to an XML file which can be used to import the data into 3rd party applications.
    • Bulk Stock - Select to invoke the Bulk Stock Wizard. This enables the transfer of large numbers of Products.


  • Preview - Select to generate the Inventory Transfer report.
  • Close - Select to exit.

 


Operation

 

The creation of a Transfer can be achieved in either of 2 ways :

 

  1. Manually OR
  2. Using the Bulk Stock Wizard.

 


Manually

 

  1. Change the Trading Date to the relevant date and time.
  2. Enter a Reference.
  3. Select a From/To Location from the drop down lists.
  4. Enter a Barcode/PLU or a Product Code. Alternatively, you can select the Product Code field and press Enter to open the Search Product screen.
  5. Enter quantity to be transferred in the Qty field.
  6. Select the Commit button to post the Inventory Transfer.

 

If you wish the post multiple Products ignore the last step and instead select Add Row to enter another Product. If required, to remove a row, select it and select Delete Row. Once all Products have been entered you can finish the transfer by selecting Commit.

 


Bulk Stock Transfer Wizard

 

Locations

 

 

Select a From Location and To Location.

 

  • Transfer From/To - Select a open the Search Locations screen to select the Location From/To Locations between which Products will be transferred.

 

For example, If From Location 1 and To Location 6 is selected, then all of the Products with current stock on hand in Location 1 will be displayed in the grid with the To Location set to 6.

 

Footer

 

  • Back - Select to return to the previous step.
  • Next - Select to proceed to the next step.
  • Finish - Select to run the wizard and display all Products in the grid.
  • Cancel - Select to exit the wizard without running it.

 

Groups

 

 

  • Product Group From/To - Select to open the Search Product Groups screen to return the Products in the From/To Product Group range selected.

 

For example, if From Product Group 1 and To Product Group 1 is selected, then only the Products from Product Group 1 will be displayed in the grid.

 

Products

 

 

Select the Product Ranges to return the Products which the transfer is to be applied to.

 

  • Family - Select to open the Search Families screen to return the Products in the From/To Family range selected.

  • Product Range - Select to open the Search Product Range screen to return the Products in the Product Range selected.

 

For example, if Family 1 is selected, then only those Products assigned to Family 1 will be displayed in the grid. The same applies to Product Range.

Formula* : (ABS(A * B) + ABS(C * D)) / (ABS(B) + ABS(D))  where ABS = returns the absolute value of a number. Ie. a number without a sign

 

Example : (ABS(2.5 * 3) + ABS(3 * 10) / (ABS(3) + ABS(10)) = 2.88
