Description

 

This menu item is used for the Production/Manufacturing of retail Products from ingredients and at the same time provide Inventory/Stock control for both the retail Products and their ingredients. For example: The Production/Manufacturing of bread to be sold in a Bakery, will increment the Inventory/Stock On Hand (SOH) against the retail Product Bread for each loaf Produced/Manufactured and decrease Inventory/SOH against each of the ingredients/Products used to make the Bread.

 

To Be Considered

 

  1. Production Items and their respective ingredients will need to be created as Products in SwiftPOS Back Office before they can be added in to the Production feature.

Search Fields

 

  • Location - Select from the drop down list to return those Production items, assigned to the selected Location, in the grid.
  • From/To Group - Select from the drop down list to return those Production items, assigned to the selected Product Group range, in the grid.
  • Posting Date - Used in certain reports.
  • Reference - Enter an appropriate reference. Up to 15 characters allowed.

 

Find Fields

 

The Find fields above the grid will automatically sort the rows in the grid by the field selected. Entering a value into in any one of the Find fields will cause the closest matching row to be highlighted.

 

Grid

 

By default rows listed in the grid are sorted by Product Code. Sorting can be changed by toggle selecting any one of the column headings. Once changed, the rows will be always sorted in the same way until changed again.

 

  • Location - Select from the drop down list the Location for the Production item.
  • Product Code - Displays the Product Code for the Production item.
  • Description - Displays the Product Description for the Production item.
  • Stock On Hand - Displays the current stock available for the Production item.
  • Qty To Build - Enter the quantity required to be built/produced.
  • Yield - Enter the actual quantity Produced/Manufactured.
  • Add Ingredients - Select to add ingredients to open the Production Ingredients screen and add the ingredients that are required to Produce/Manufacture the retail Product.

 

Footer

 

  • Add Row - Select to add a new row to the grid OR select from the drop down list Delete Row to delete the selected row in the grid.
  • Save - Select to save changes.
  • Undo - Select to undo changes made.
  • Delete Row - Select to delete the selected row from the grid.
  • Reset - Select one of the following from the drop down list:
    • Reset Qty's - Select to reset the Qty To Build to zero for all Production Items in the grid.
    • Reset Yield - Select to reset the Yield to zero for all Production Items in the grid.

 

  • Reports - Select from the drop down list one of the following:

 

  • Production Ingredient Listing - Select to report for each Production item listed in the grid, their ingredients and associated quantities and costs.
  • Where Ingredients Are Used - Select to report for the ingredients associated with each Production item listed in the grid, which Production items they are used as an ingredient, their associated quantities and costs.
  • Production Yield Report - Select to report for each Production item listed in the grid, the expected and actual yields and costs for the Production/Manufacturing build.
  • Production Run Report - Select to report for each Production item listed in the grid, the expected yield and then a space to manually record the actual yield.
  • Production Ingredients Report - Select to report for each Production item listed in the grid, the quantity required and the current SOH for the previously run production build.


  • Set Qty/Yield - Select one of the following from the drop down list:

 

  • Build - Select to record a Production run in SwiftPOS Back Office and thereby update the SOH against all Production items listed in the grid and their associated ingredients instantly.
  • Import / Export - Select either Import/Export Production Items.
  • Close - Select to exit.

 


Production Ingredients

 

 

Grid

  • Product Code - Displays the Product Code for the ingredient.
  • Description - Displays the Product Description for the ingredient.
  • Qty - Enter the quantity required of the ingredient to Produce/Manufacture the retail Product.
  • Size Type - Select from the drop down list one of the following:

 

Note :If the purchased ingredient is purchased in 25kg bags (Flour), this does not mean that the ingredient quantity entered here would be in kilograms as well. In this example ingredient quantities can be entered in, as grams.

 

  • Cost - Displays the cost as calculated by SwiftPOS based on the Qty entered and the Cost Price of the ingredient Product.

 

Footer

 

  • Add Item - Select to add a new row to the grid.
  • Delete Item - Select to delete the selected row from the grid
  • Close - Select to exit.

 


Operation

 

The following provides and example of the setup and operational steps required for the Production/Manufacturing of the retail Product 'White Loaf 600g'.

 

  1. Prior to setting up, both the retail Products required to be Produced/Manufactured and it's associated ingredients will need to be added as Products in SwiftPOS Back Office. The retail Products must be marked as Production Items. The ingredients would generally be marked as Purchased Items.
  2. Add a row to the grid and press enter to open the Search Products screen and select a Product listed. Note : Only Products marked as Production Items will be listed in the Search Products screen.
  3. Select from the drop down list the Location for which the retail Product is to be Produced/Manufactured. The following screenshot provides and example of the retail Product 'White Loaf 600g' added to the Production screen:


  1. Select Add Ingredients to open the Production Ingredients screen and add all the ingredients that are required to Produce/Manufacture the retail Product 'White Loaf 600g'.

 

  1. Once all the ingredients have been added select Close and return to the Production screen to enter the Qty To Build. That is how many loaves of bread are expected to be produced/manufactured. In this example 200 loaves are expected to be produced/manufactured. By entering the Qty To Build value here, SwiftPOS will accurately decrement the Stock levels against all ingredients used in the Production/Manufacturing process. This will only be done when the Build button is selected.
  2. Run the Production Run Report to enable the manual recording of the Yield once the actual Production/Manufacturing of the loaves has taken place.
  3. From the completed and returned Production Run Report enter the actual number of loaves Produced/Manufactured in the Yield field and select Save. In this example a Yield value of 180 is entered.
  4. Run the Production Yield Report.
  5. Select Build to record the Production/Manufacturing of stock for the retail Product in SwiftPOS Back Office. This will result in the Cost being updated and the SOH values incremented against the retail Product, and the SOH being decremented against the Ingredients.

 

  1. Lastly the Inventory Movements Audit Report can be run to confirm the inventory movements. Note : The difference between Qty To Build and the Yield will be reported as 'Product Var' Entry Type in the report.
