Denso PDE Operation (Stocktake)

The PDE's pictured below may not be all available, but the software is still supported.

  1. Note : The Denso 8040 PDE Terminals are no longer available but the supported features include stocktakes, transfers and orders.

 


Pre-Requisites

 

  1. Preparing SwiftPOS


    1. Make sure all Stock Transfers are completed
    2. Make sure all Invoices from Suppliers are posted
    3. Make sure all adjustments are completed
    4. Ensure all sales have been read in from the SwiftPOS Touch terminals and updated in SwiftPOS
       
  1. Plug the PDE into one of the serial ports on SwiftPOS PC.
  2. Open Local Configuration in SwiftPOS and set the PDE Comms Port to whichever serial port the PDE is plugged into.
  3. Turn the PDE on by pressing [PW].

 


Operation

 

  1. The following menu items are available:

 

 

  1. Stocktake
  2. Transfers
  3. Orders
  4. Review
  5. Utilities

 

  1. Stocktake

 

You can print out a Location Report listing the Barcodes that identify each Location. If it isn't a valid Location it is printed out in reports as an unmatched Barcode. Select a Location and then when the ???I??? option comes up that means it is waiting for the input of a PLU or Barcode as in the item. You can either scan the Barcode or put in the PLU number and then it asks for a quantity. Enter a quantity or accept the default quantity of 1.

You can count stock by scanning the Barcode or put the PLU number for the same Product and the software will search the Barcode field first. If it doesn't find the matching Barcode, then it will search the PLU field.


If it cannot find the matching Barcode or a matching PLU, it then prints out on a list of unmatched Barcodes in the reports. Also, if you scan cartons of beer etc. it will convert those to bottles before it displays the Stocktake variance. The computer will convert the cartons to singles and add those to any other singles that have been counted to give you the total count of bottles.

Stocktake Posting - This can be done at the user's request (daily, weekly or monthly) and can be done at any time during the month. It is preferable to count stock after trade has finished for the day or before trade commences.


  1. Clear the PDE. For more information ...
  2. Select 1 - Stocktake and [ENT] to begin a stocktake.
  3. Enter the Location and [ENT].
  4. When the PDE displays the I (input) symbol, scan a Product or enter a PLU, if the Barcode is not on file it will prompt to add it, select [1] to accept
  5. Begin scanning Products and entering quantities
     

 


  1. Repeat the scanning and quantity steps until all necessary Products have been entered into the PDE
  2. When the stocktake is complete for the first Location, select [ENT] to bring the PDE back to the Location screen. Now enter the next 4 digit Location number and repeat the scanning and quantity steps for this Location.
  3. When all Locations have been completed select the [ENT] key twice to return to the main menu
  4. When complete use the Utilities option to transfer the data or the Review option to see what you have completed. Enter the corresponding quantity for the scanned Product or accept the default of 1 and select [ENT]


  1. Stock Transfers

 

The next option is doing stock transfers, which allows you to enter a Location that the stock is coming from e.g.. if it is Location 01, it might be going to Location 06, again you either scan the item or enter the PLU number and quantity that is going to be transferred and select ENTER. If there is an error, the system will give you five beeps. If the number is OK then it will give you just the normal one beep.

There is a limit of four digits for any quantity of transfers or Stocktakes. This is designed to stop people from putting Barcode numbers into the quantity field on the PDE unit.


Again, when you are finished transferring select ENTER and ENTER again which brings you back to the main menu where the power is normally turned off. You can turn the power off in the middle of any program and when the power comes back on it brings you straight back to where it was when the power went off.


  1. Select 2 - Transfers and [ENT]
  2. Enter the From Location and [ENT]
  3. Enter the To Location and [ENT]
  4. Scan the applicable Products and enter quantities
  5. When complete use the Utilitiesoption to transfer the data or the Review option to see what you have completed.


  1. Orders

 

The Orders feature allows you to scan Product Barcodes and enter quantities so that you can easily create Supplier purchase orders.

  1. Select 3 - Orders and [ENT] to commence an order
     


  1. Enter the Location number and enter a reference number
  2. Scan the Products needed and enter corresponding quantities
  3. Select [ENT] on a blank line to return to the main menu.
  4. When complete use the Utilities option to transfer the data or the Review option to see what you have completed.


Other Features

  1. With all postings that are entered into the PDE you are able to view the history transaction file and scroll backwards and forwards through the files viewing each entry. This is also very useful at the start of a Stocktake to ensure that the previous Stocktake was cleared correctly.
  2. Being able to view the previous quantities that have been entered when scanning each item assists in finding incomplete transfers or stock stored in multiple places.
  3. Displaying the description of each stock item scanned tells you exactly where you are up to on the shelf after an interruption. The PDE returns to the current display even if the display has automatically powered off in battery save mode.


Purchase Orders based on Sales History or PDE scan data that will create reorder lists can be converted into Purchase Orders. To review the order on the PDE follow these simple instructions:


  1. Select 4 - Review and [ENT]
     


  1. Select 2 - Orders
     

 

  1. The PDE will now display a list of all scanned Products and the quantities to order.
  2. Select either [1] to view the previous record or [2] to view the next record.
  3. Select [ENT] when done to return to the main menu.


  1. Review

 

  1. Select 4 - Review and [ENT] to review records from either transfers, orders or stocktakes.
     

 

  1. Select 1 - Stocktake and [ENT] or
  2. Select 2 - Orders and [ENT] or
  3. Select 3 - Transfers and [ENT]
     


  1. Use the [1] - previous or [2] - next keys to scroll through the list of entries.
  2. When complete, select the [ENT] button to return to the main menu then use the Utilities option to transfer data from the PDE to SwiftPOS.


  1. Utilities

 

  1. Before transferring data between SwiftPOS and the PDE please ensure that if QUEST-Connect and the PDE are sharing the same serial port, QUEST-Connect is not running.

 

  1. Load Data (Uploading data to the PDE)

 

  1. Select 5 - Utilities and [ENT]
     


  1. Select 3 - Load Data
     


  1. Select [1] to load BARCODE.DAT
  2. Select the Upload data to PDE option from within the inventory count menu in SwiftPOS
  3. The Barcodes will be loaded to the PDE, when complete select [ENT]
     


  1. Select [1] to load LOCATION.DAT
  2. The Locations will be loaded to the PDE, when complete select [ENT]
  3. Turn the PDE on by pressing [PW]


  1. Send Data (Downloading data to SwiftPOS)

 

  1. Select 5 - Utilities and [ENT]
     

 

  1. Select [1] - Send Data
     


  1. Select [1] to send STKTAKE.DAT
     


  1. Open the Stocktake & Period End screen in SwiftPOS and select Import Stock Count option from Tools.
  2. Select [1=Yes] yes" in SwiftPOS to confirm that the PDE is ready to send. The Stocktake will be sent to the PC.
  3. Once the transfer is complete a prompt will appear: PDE communications transfer has completed. Now checking to make sure that the Stocktake data file exists
  4. The PDE will beep and display "Done Hit Any Key", select any key to continue
  5. The PDE will now display "Enter Confirm: Clear STKTAKE.DAT ? [ 1=YES ]". If you wish to remove the file select [1], else select [ENT] to return to the main menu
  6. Note : This process can be repeated with SUPPLY.DAT and STKTRAN.DAT.
  7. If you have used more than one PDE for the Stocktake, then at this point you should follow the procedures above to download and import the file from the second PDE. If you realise that you have forgotten to count certain stock items, you can then take the PDE and count the extra stock items and re-import your Stocktake file. If you have used two or more PDE's for the Stocktake then you should ensure the PDE is cleared before entering any additional stock items.
  8. When you import the PDE Stocktake again SwiftPOS will display: "Append to existing Stocktake data in the computer?"
  9. Selecting 'NO' will clear the old Stocktake data from the PC which means that you would have downloaded the complete Stocktake from the PDE.
  10. SELECTING 'YES' COULD ACCIDENTALLY DOUBLE THE STOCKTAKE. YES NO If you have NOT CLEARED the PDE then select NO. If you have CLEARED the PDE then select YES.
  11. Note : if you have used more than one PDE for the Stocktake then you would say Yes to append.
  12. If everything is correct the select "commit" to save the stocktake and apply the inventory count changes


  1. Erase Data (Clearing the PDE)

 

  1. Turn the PDE on by pressing [PW]
  2. Select 5 - Utilities and [ENT]
     


  1. Select 2 - Erase Data
     


  1. Select [1] to send STKTAKE.DAT
     


  1. STKTAKE.DAT will be erased, when complete select [ENT]
  2. This process can be repeated with SUPPLY.DAT and STKTRAN.DAT
