Security Structure

 

Description

 

Security in SwiftPOS is implemented and managed through the following two options:

 

  1. Clerk/Staff Groups - Used to manage/setup Clerk/Staff Groups and thereby control access to individual SwiftPOS Touch terminal POS Keys and SwiftPOS Touch features. This option also provides the control of access to data that is viewable in reports and menus throughout the SwiftPOS application suite.
  2. Clerk Security Groups - Used to manage/setup Clerk Security Groups to control access to SwiftPOS Back Office features.

 

The diagram below provides a quick overview of the SwiftPOS Security Structure:

 

 

At the lowest level Clerk/Staff are assigned to a Clerk/Staff Group. Ignoring everything else, Clerk/Staff Groups are primarily organisational. When single or multiple Clerk/Staff Groups are assigned to a Location Group (Venue), the functionality of Clerk/Staff Groups becomes evident. As a result of this assignment, Report and Stocktake data for that Location Group (Venue), effectively becomes viewable by each Clerk/Staff Group assigned to it.

 

In the diagram above, Clerk Group 1 is assigned to the Location Group (Venue) Store 1. Store 1 has only one Location assigned to it. This means that any Clerk/Staff Member from Clerk Group 1, that has the appropriate security access, can view any Report and Stocktake data that is related to Location 1. All other data will be excluded from the Reports and Stocktakes.

 

Again in the diagram above, Store 3 has multiple Locations assigned to it. This means that any Clerk/Staff Member from Clerk Group 3 will be able to view data related to Locations 3, 4 and 20.

 

Clerk Group 5 is assigned to Store 2 and 3. This means that all of the Clerks/Staff in Clerk Group 5 can view data related to Locations 2, 3, 4 and 20.

 

Clerk Group 0 is the Managers group and is assigned to all Location Groups (Venues). Clerks/Staff in Clerk Group 0 can view data related to Locations 1, 2, 3 ,4 and 20.

Note : That not all areas of SwiftPOS currently limit the Location data displayed, to the Clerk/Staff Member currently logged in. The following lists the screens in SwiftPOS which DO support this form of security and will limit the Location data displayed to the Clerk/Staff Member logged in:

 

  • Search Transactions
  • Product Records
  • Inventory Adjustments
  • Inventory Transfers
  • Inventory Counts
  • Purchase Orders
  • Supplier Invoices
