Raffles Operation

 

TouchRaffle Draw (#91), Raffle Ticket (#90) and Reprint Raffle Ticket (#92) POS Keys

 

Description

 

This feature is used to manage the selling of Raffle Tickets and perform Raffle Draws at the SwiftPOS Touch terminal.

 

To Be Considered

 

  1. If required, restricting access to these POS Keys can be managed by Clerk Security.
  2. The first time the Raffle Draw POS Key is selected on each SwiftPOS Touch terminal, a connection will need to be established with the SwiftPOS Back Office. For more information ...
  3. Raffles can NOT be sold on a Table.
  4. The Raffle Draw feature is subject to State and Country laws. Please ensure these laws are being upheld and the correct permits are acquired prior to operating in a site.
  5. Note : Do not use this feature in Training Mode. If Raffle training is required then set up a dummy training Raffle and end the Raffle when the training has been completed.
  6. Multiple Raffle Ticket POS Keys can be added to a keyboard and each can be preset to a specific Raffle. For example, one to sell Tickets in the Meat Tray Raffle, and one to sell Tickets in the Hamper Raffle.

  1. If you want to sell Raffle tickets at different prices depending on the quantity bought. For example: 5 tickets for $5, 12 tickets for $10 and/or 30 tickets for $20. Then create different Price levels and then create a Multi Link (Macro) POS Key to do a Price Level Change for the next item and set the different values of tickets.
  2. Make sure that the printer page length setting is longer than the maximum length of the Raffle Tickets to be printed. The default page size is 80 x 297mm. This will need to be changed to something like 80 x 3276mm. This would allow 3 metres of raffle tickets to be printed.
     

 


Pre-Requisites

 

  1. Ensure the Function Raffle Draw and Raffle Ticket POS Keys are added to the appropriate Layout using the Keyboard Designer.
  2. Ensure Raffle Tickets are created in the SwiftPOS Back Office and send a Full Update to the SwiftPOS Touch terminals.

 


Setup

 

The first time the Raffle Draw POS Key is selected on each SwiftPOS Touch terminal, a connection will need to be established with the SwiftPOS Back Office. Follow the screen prompts below:

 

 

 

 

Table Tracking Must be setup for Raffles to work.

 

 

 

Once the connection has been established with the SwiftPOS Back Office, then the next time the Raffle Draw POS Key is selected, then the Raffle Draws screen will be displayed.

 


Operation

 

  1. To Create a Raffle and sell Tickets


    1. In SwiftPOS Back Office, ensure Raffle Tickets are created and send a Full Update to the SwiftPOS Touch terminals.
    2. At the SwiftPOS Touch terminal, select the Raffle Draw POS Key.
    3. The Raffle Draws screen will be displayed.
    4. Select the New button.
    5. Select the Start Selling button. This will allow Raffle Tickets to be sold at the SwiftPOS Touch terminal, by selecting the Raffle Ticket POS Key.
    6. Select Close to exit the screen.


  1. To Draw a Raffle


    1. At the SwiftPOS Touch terminal, select the Raffle Draw POS Key.
    2. The Raffle Draws screen will be displayed.
    3. Select the Raffle from those listed in grid for which a Draw is to be initiated.
    4. Select the Suspend button to ensure no more Raffle Tickets can be sold at the SwiftPOS Touch terminal.
    5. Select the Draw button to initiate a Draw.
    6. Select either a Single or Multi Draw option.
    7. If required select to display the Draw on a 2nd Display.
    8. Select New to initiate the Draw and display the Single/Multi option selected. For more information ...
    9. For each Draw displayed, select the Draw button to start the Draw. While Drawing, random numbers will appear until the Winning Ticket is drawn.
    10. After a couple of seconds a countdown will start displaying the remaining time to for the winner to claim the Winning Ticket. This time interval is set here.
    11. If claimed, select Suspend to verify the claim. If verified, select Claim to display the Ticket has been claimed. If not verified, select Resume to enable the possibility of doing a redraw.
    12. If not claimed, select Redraw to initiate a redraw.
    13. Select Close to exit the screen.


  1. Clearing Old Raffles


    1. Raffles will be automatically cleared after 7 days after they have been closed. This process is automatically initiated when the SwiftPOS Touch terminal, that is the Table Tracking Master, is started up in the morning.
    2. To clear Raffles manually the close all the Raffles and restart the SwiftPOS Touch terminal, that is the Table Tracking Master. This also does a reindex on the Table Tracking database to increase performance.

 

  1. Backing up Old Raffles


    1. To backup old Raffles, backup the Table Tracking Database. For more information ... This can also be scheduled here.

 

  1. Reprint Raffle Ticket
     
    1. At the SwiftPOS Touch terminal, select the Reprint Raffle Ticket POS Key.
    2. The last Raffle Ticket will be printed.

 


Raffle Draws

Header

 

  • Filter By - Select from the drop down list one of the following or select using the Up/Down arrows to the right.

    • << All Draws >>
    • << Current >>
    • New
    • Selling
    • Suspended
    • Drawing
    • Ended


  • Settings - Select to configure the Raffle Draw Settings. This enables the re-configuring of the SwiftPOS Back Office SQL Connection, as per the Raffles Setup below.
  • Close - Select to exit.

 

Grid

 

  • Displays the Raffle Draws returned by the Filter By selection made above. For each Raffle Draw listed the Draw#, Name, Started/Ended Dates and Status are displayed.

 

Footer

 

  • Up/Down Arrows - Select to navigate through the Raffle Draws listed in the grid.
  • New - Select to open the Raffle Tickets search screen and select a Raffle. Once selected the Raffle will appear in the grid with a Status of New. Raffles listed here need to be created in the SwiftPOS Back Office here.
  • Start Selling - Select to commence selling Tickets for the Raffle highlighted in the grid. The Status will change to Selling.
  • Suspend - Select to suspend the Raffle. This is normally done to suspend the selling of Tickets and execute a draw. The Status will change to Suspended.
  • Draw - Select to open the Random Draw Control Panel screen and execute a draw.
  • End - Select to end a Raffle and remove it from the grid. A prompt will be displayed requesting confirmation to end the selected Raffle.
  • Info - Select to open the Raffle Statics screen to view Raffle related statistics.

This screen is used to initiate a Raffle Draw. The screenshot is an example of the Multi Draw (9) option.

 

  • New - Select to initiate a Draw depending on one of the following options:

 

    • Single Draw - Select initiate a single Draw.
       
    • Multi Draw (4) - Select to initiate up to 4 Draws.
       
    • Multi Draw (9) - Select to initiate up to 9 Draws.
       
  • 2nd Display - Select to display on a second monitor.
     
  • Minimise - Select to minimise the Random Draw Control Panel.
     
  • Close - Select to exit.

 


Raffle Statistics

 

 

This screen is accessed from here and displays statistics relating to the selected Raffle.

 

  • Print - Select to print the Raffle Summary.
     
  • Close - Select to exit.

Raffle Ticket POS Key Settings

  • Raffle Ticket - Select to from the drop down list of Raffles available. The list is populated by creating Raffles in the SwiftPOS Back Office here.
  • Qty To Sell - Set the number of Raffle Tickets to be sold in each sale.
  • Prompt for information - Select to ensure that when the Raffle Ticket POS Key is selected at the SwiftPOS Touch terminal the Clerk/Staff Member will be prompted to optionally enter Reference details, for example a contact number of the Customer/Member that purchased the Ticket. Reference Details that are entered can also be printed on the Raffle Ticket. This can be done by ensuring the item {TICKET COMMENT} is added to the ticket design in Edit Raffle Ticket Design screen.
  • OK - Select to save any changes and exit.
  • Cancel - Select to exit without saving.
