Gift Card Operation

 

Touch > Activate Gift Card (#230), Stored Value Charge (#246) and Stored Value Top Up (#86) POS Keys

 

Description

 

Used to activate a new Gift Card based on a Stored Value Voucher. Gift cards using the Voucher Mapping connect via NetPOS.Net to retrieve Stored value Voucher information held in the SwiftPOS Back Office. These Vouchers are encoded at the SwiftPOS Touch terminal with any keyboard input devices. The number from the encoded card or Barcode is Mapped to the Voucher in the SwiftPOS Back Office and uses the same trigger parameters that Voucher has configured. The Gift Cards can be reported on by using the Stored Value Cards Reports.

Operation

 

  1. Activating a Gift Card/Stored Value Voucher

 

    1. Select the Activate Gift Card POS Key at the SwiftPOS Touch terminal.
    2. Select from the available Stored Value Vouchers, the required Voucher to be issued.

 

  • Stored Value Vouchers that can be issued can be either one of the following :

    • Preset - These Vouchers have a value other than zero set in the SwiftPOS Back Office. For example, $50 Gift Card. $100 Gift Card, etc. The value of these Vouchers can be topped up using the Stored Value Card Top Up POS Key.
    • Top Up - These Vouchers have a value of zero set in the SwiftPOS Back Office. When activating these Vouchers a value will need to be specified at the SwiftPOS Touch terminal. These Vouchers can also be topped up using the Stored Value Top Up POS Key.


    1. A prompt to enter text to map to the issued Voucher, is displayed. This then enables the text to be entered, when the Voucher is redeemed, using the Voucher Entry POS Key instead of entering the Voucher number. Entering mapping text is optional. Enter text and/or select Done.
    2. Enter the value to be entered. Only required for Top Up Stored Value Vouchers.
    3. Finalise the sale of the Gift Card.

 

  1. Activating Pre-coded Cards

 

    1. If you already have Gift Cards that have a number coded to the plastic card, these can be assigned to a Gift Card at the SwiftPOS Touch terminal at the time of purchase. They can also be redeemed when the card is swiped. Card Masking that looks up Vouchers will need to be set up either as a keyboard input device or magnetic swipe peripheral.
       

 

    1. SwiftPOS -> Settings -> Peripherals -> Barcode Scanners / Keyboard Input Device / Magnetic Swipe Reader -> Card Masking.
    2. Enter the Card Masking. For example (88)XXXXXX. Note : Do NOT use the Vouchers masking template as this will clash with SwiftPOS Vouchers.
    3. Select the Card Type as SwiftPOS Voucher.
    4. Set the Interface type and ID by selecting from the Available Interfaces drop down list and the Set/Change Selected Interfaces button.
    5. Test your card.
       

 

    1. By setting up this card mask, you can now proceed to map it to a Voucher from the SwiftPOS Touch terminal.

 

  1. Make a Purchase using a Gift Card/Stored Value Charge (Redeem)

 

  1. At the SwiftPOS Touch terminal, scan/enter a Gift Card/Stored Value Voucher.
  2. If a PIN is required, a PIN Required prompt will be displayed to allow entry of the PIN.
  3. The Gift Card/Stored Value Voucher will be added to the sale and its remaining balance (value) will appear in the sales grid.
  4. Add items purchased to the sale.
  5. Select the Stored Value Charge POS Key to redeem the value of Gift Card/Stored Value Voucher and pay towards the purchase.
  6. Finalise the sale.
  7. The Gift Card/Stored Value Voucher will be reprinted if there is still a balance remaining.
     

Note : When a Gift Card is scanned/swiped at the SwiftPOS Touch terminal for access,. Card masking must be set up to enable the Gift Card to be recognised by the SwiftPOS Touch terminal. It is advisable that cards being used as Gift Cards are consistent with either character numbers or codes in format for the card masking to be recognised.

 

  1. Top Up Gift Card / Stored Value

 

    1. At the SwiftPOS Touch terminal, scan/enter a Gift Card/Stored Value Voucher.
    2. If a PIN is required, a PIN Required prompt will be displayed to allow entry of the PIN.
    3. The Gift Card/Stored Value Voucher will be added to the sale and its remaining balance (value) will appear in the sales grid.
    4. Enter the value to be added to the balance of the Gift Card/Stored Value Voucher using the numeric keypad.
    5. Select the Stored Value Top Up POS Key. Note : If the value of the Gift Card/Stored Value Voucher exceeds the Stored Value Limit, the following message will be displayed and the Gift Card/Stored Value Voucher value will not be Topped Up.
       

 

    1. Finalise the sale.
    2. The Gift Card/Stored Value Voucher will be reprinted with the new value added.

 

  1. Refunding a Gift Card / Stored Value Voucher

 

    1. At the SwiftPOS Touch terminal, select the Refund Mode POS Key.
    2. Scan the Gift Card/Stored Value Voucher. The balance of the Gift Card/SVC will be displayed in the sales grid.
    3. If a PIN is required, a PIN Required prompt will be displayed to allow entry of the PIN.
    4. Enter the Balance value and select the SV Top Up POS Key. The balance of the Gift Card/SVC will be set to zero.
    5. Finalise the Refund.

 

 

  1. Clearing a Top Up of a Gift Card / Stored Value Voucher

 

    1. Once the Top Up of a Gift Card/Stored Value Voucher has been added to a sale, it can be cleared as follows:
      1. Select the Stored Value Top Up item in the sale.
      2. Select the Clear Item POS Key. The following prompt will be displayed to confirm cancellation:
         

 

      1. Select Yes. The Item will be cleared.

 

 

      1. Finalise the remaining items in the sale.

 

  1. Cancelling a Gift Card / Stored Value Voucher
  1. Once a Gift Card/Stored Value Voucher has been added to a sale using the Activate Gift Card POS Key, it can be cancelled in either of the following two ways:

 

    1. Using the Cancel Sale POS Key
       
      1. Select the Cancel Sale POS Key, to cancel the entire sale. The following prompt will be displayed to confirm cancellation:
         

 

      1. Select Yes. The sale will be cancelled and the Gift Card removed from the Voucher Ledger.

 

    1. Using the Clear Item POS Key

 

      1. Select the Gift Card Activated item in the sale.
      2. Select the Clear Item POS Key. The above prompt will be displayed to confirm cancellation.
      3. Select Yes. The item will be cleared.
         

 

      1. Finalise the remaining items in the sale.

  • Enforce Reason Code - Select to enforce the Clerk/Staff Member to select/enter a Reason for issuing a Voucher.
  • Don't Prompt For Mapping - Select to ensure prompting for Voucher Mapping is not displayed.
  • Hide Keyboard - Select to ensure the Alpha-Numeric Keyboard is NOT displayed.
  • Voucher - Select from the drop down list of available Vouchers a Voucher to be assigned to this POS Key. This feature can be used to ensure that Clerks/Staff do not issue the wrong Voucher. The selected Voucher is assigned to the POS Key.
  • Use EFTPOS MSR - Select the indicate use of EFTPOS Magnetic Swipe Reader.
